Ask exactly what happens if the internet connection drops. Can new files still travel to the assigned room? Can the team still view status, notes, and previous versions? Room-based routing

A file is not ready merely because it exists in a shared location. It is ready when it is available on the playback machine assigned to that session.

Room-based routing removes a common weak point in large events: manual distribution. That reduces the chance of the keynote arriving in Breakout B or an operator receiving two different versions from two people.

Version control that works under pressure

Version control in event operations is not an academic feature. It is the difference between playing the approved opening video and a draft with an old sponsor slate.

Look for a clear, visible status of each transfer and each update. Staff should be able to see when a file was received, whether a newer version replaced it, and whether the operator machine has it. The language must be obvious enough for a ready-room coordinator to act on without interpreting technical logs.
